However, less attention is paid to the administrative matters that require attention long after the move.

An expired document, a form that was never submitted, or a name change that hasn’t been updated everywhere can lead to months of waiting, unnecessary costs, and a great deal of frustration. Fortunately, many of these problems can be prevented.

1. You wait until your passport is about to expire

Many South Africans only realise how long a passport application can take once they have already made travel plans.

Do not wait until your passport has only a few months of validity left. Many countries require at least six months’ validity before you can travel, even if your destination is not South Africa.

Also, keep an eye on the expiry date of your children’s passports. Passports for minors have a shorter validity period than those for adults.

2. You do not keep records of important South African documents

Birth certificates, marriage certificates, divorce orders, and other original documents are often much more difficult to obtain again from overseas.

Make digital copies of all your important documents and store them safely. Also, keep the originals in a place where you or a trusted family member can easily access them.

3. Your details are not consistent across the board

A new surname following marriage, a change of address, or even a different signature can cause problems when various documents no longer align.

Ensure that changes are consistently updated with all relevant institutions so that you do not face unnecessary delays later when you need documents or services.

4. You put off South African administrative tasks because they do not feel urgent

Many people think: “I’ll do it when I visit South Africa again.”

However, that visit is sometimes postponed, and in the meantime, the administrative work piles up. When a matter does become urgent, you often have to deal with waiting periods, appointments, and documents that should have been arranged beforehand.

It is usually much easier to complete small administrative tasks on time than trying to sort them out when you are pressed for time

5. You assume someone else’s experience also applies to you

Social media groups are valuable, but administrative processes change frequently.

What worked for someone two years ago is not necessarily still correct today. Use online communities as a guide, but always verify important information through official channels before applying or making travel plans.

6. You do not keep a basic administrative file

A lot of frustration arises because people no longer know:

•           when their passport expires;

•           where their documents are stored;

• which applications have already been submitted; or

• which reference numbers they have received.

A simple digital or hard-copy administrative file can save hours of searching when you need it most.

7. You wait until there is a crisis

Administration is rarely exciting, but it suddenly becomes very important when you need to travel urgently, register a child, submit documentation, or complete an official process.

By regularly checking documents and completing small administrative tasks throughout the year, you reduce the risk of a simple mistake costing you a great deal of time, money, and stress.

Administration is a part of long-term planning

Living overseas doesn’t mean that administrative tasks come to a halt. On the contrary, it often requires more forward planning than living in South Africa does.

The good news is that most administrative issues aren’t complicated – they only become costly when left until it’s too late. By regularly reviewing your documents, keeping track of important dates, and staying up to date with changes, you save yourself a great deal of unnecessary stress at times when you can least afford it.

A single tip can save someone months of frustration

Have you ever made an administrative error that came at a high cost? Or do you have a clever tip that other South Africans abroad should know about? Share it with AfriForum Worldwide. By sharing our experiences, we help make the path a little easier for others. Sometimes the best advice isn’t found in a manual, but in someone else’s experience.

<polyline points="9 11 12 14 22 4"/>

Perform this administrative “health check” once a year

•
